- Manage Statuses That Display
As a user profile administrator, optimize the use of Notifications at your firm by choosing which service item statuses to display thereby keeping the content current and most relevant to your users. (View Notifications)
The ability to manage Notifications is done using profiles, including the Default Profile. Profiles help you to control the availability of certain features to the users represented in a profile.
To manage Notifications:
For example, use a firm profile to indicate that Service Requests with a status of Not In Good Order remain listed on Notifications for 15 days. On day 16, if the item status is still NIGO, the item will no longer display on Notifications. If, however, the item's status changed to Resolved prior to day 16, the item is removed immediately from Notifications.
Note
Users must be entitled appropriately to see a profile's content: Service Requests, Other Requests, and Service Messages.
Choose settings for Notifications one profile at a time. By default:
The statuses you can choose are organized by service items: Service Requests, Other Requests, and Service Messages.
- Access Manage Notifications
- Exclude Statuses
- Set Expirations for Statuses
You may manage Notifications for Firm Profiles only.
On the User Profile Administration window, select a firm profile name.
Select Manage Notifications Tool.
Once a status is excluded from Notifications, back on the Manage Notifications grid, "No" displays in the Include column and "n/a" displays in the Expires In column. To reverse this choice and instead show the status on Notifications, repeat the steps and select Yes (Display the selected statuses on Notifications) when prompted.
Select the check box to the left of one or more statuses.
Select Include/Exclude.
A message prompts you to confirm your choice.
Select No (Do not display this status on Notifications).
Select Save.
Manage how long a service item remains listed on Notifications. For example, to indicate that you want all Service Messages – no matter the status – to automatically expire after 10 days, select 10 days from the predefined durations.
This setting only applies to statuses included in the profile (and not to excluded statuses).
Note
Expiration only applies to the display of items on Notifications and does not impact the display of items in the source channels such as Service Center and Alert Manager.
Select the check box to the left of one or more statuses.
Select Set Expiration.
From Expires In, indicate how long the status should remain on Notifications:
1 day
3 days
7 days
10 days
15 days (Default)
30 days
Select Save.
