Overview

Subscribe to receive an alert when a specific Service Request or Service Message undergoes a status change. This is referred to as an "item-level alert." These subscriptions are separate from subcategory-level alerts in Alert Manager. Item-level alerts apply to just an individual Service Request or Service Message.

Subscribe to a service item-level alert when doing the following:

View Current Subscriptions

  1. In Alert Manager, select Item Level Subscriptions.

    - Subscriptions for open Service Requests display by default.

  2. In the left panel, select a plus (+) icon to expand the alerts to view:

    Alerts for Open Work Items
    Alerts for Closed Work Items

  3. Choose either Service Messages or Service Requests to display only that subset of service items.

  4. To print the listed subscribed alerts, select the Print icon (top of window).

Modify a Subscription

Make modifications to a item-level alert subscription at any time. Modifications include changing status filters and delivery options. Also, select multiple subscriptions at once and apply the same status filters and/or delivery options to these subscriptions in one action.

To modify a subscription

  1. To modify a single subscription, select the alert.
    or
    To modify multiple subscriptions, select the first entry, hold down the Shift key, and select the last subscription.
    or
    To select non-contiguous entries, select the first entry, hold down the Ctrl key, and select each remaining subscription.

    - Subscription Details opens.
    - If a single alert is selected, the alert name displays in the title.
    - If more than one alert is selected, "Multiple Alerts Selected" displays.

  2. Do any of the following:

    To unsubscribe from an alert, clear the Subscribe box. All other settings are removed.

    To modify delivery options, in the Delivery Options section, select or clear the Email 1, Email 2, and/or Email 3 boxes.

    To change service item statuses to receive alerts, select or clear boxes in the Statuses section.

    Note
    If subscribed to a mandatory alert for the same subcategory as the work item, the alert cannot be overridden.

  3. Select Save Settings.

    - You are prompted to confirm the changes.

  4. Select Yes.

Unsubscribe from an Alert

Unsubscribe from an item-level alert at any time. The subscription will no longer display in the Item Level Subscriptions list and you will no longer receive the alert.

To unsubscribe from a subscription

  1. In the Subscribe column, select the x icon.

    - You are prompted to confirm the change.

  2. Select Yes.

Field Definitions

Field Definition
Category The category of the alert.
Delivery Options Up to three optional email delivery addresses specified for the alert.
Item Number The item number of the Service Request or Service Message for the item-level alert.
Subcategory The alert subcategory; alert subscriptions are set at this level.
Subscribed Indicates whether you are currently subscribed to the alert.
