As a user profile administrator for your firm, create profiles that control the availability of certain product features to users in Wealthscape. Profiles help to simplify the many options that can display, such as to an associate assigned to a specific functional area or to an associate who requires limited access. For example, a person assigned to a "margin" profile can only initate the margin-related Service Requests specified in the profile and view results in Service Center associated with the margin-related Service Requests specified in the profile.
Two types of profiles are available:
Based on your user entitlements and where applicable, you can control the availability of the following product features:
- Service Requests
- Service Messages
- Other Requests
- Alerts
- Reports
Note
At this time, only Alerts are available to assign to an Investor Profile.
To be an active profile, a profile must contain content (at least one Service Request, Service Message, or Alert) and at least one assigned user.
Within each profile type is a "Default Profile." The Default Profile contains users who do not belong to a profile. Since all users must belong to a profile, new users are automatically assigned to the applicable Default Profile (Firm or Investor).
On left side of the window, links on the User Profiles panel enable you to access features necessary to create and maintain profiles, including content and users. The organization of the left panel serves as a visual representation of the steps or workflow to follow when creating and editing a profile.
Select Service > Firm ID Maintenance > User Profile Administration.
Create up to 100 profiles for your firm. Although you can add an unlimited number of users to a profile, you can add a user to only one profile at a time. If you attempt to add a user assigned to another profile, this user is removed from the previous profile and added to the current one.
If your firm has already created the maximum number of profiles (100, which is the combined total for both Firm and Investor profiles), you are prevented from creating additional profiles. When this occurs, consider editing or deleting an existing profile to make room for the new profile. (Delete Profiles, Edit Profiles)
A profile is not active until it includes content and at least one assigned user. When a profile does not meet this criteria, it is flagged with an asterisk (*) on the User Profile Administration window.
Follow these recommended steps to create a profile:
1) Assign a Profile Name
2) Add Content
3) Add Users
4) Add Firm User Email Addresses (Optional; Firm Profiles only)
Use the following conventions when assigning a profile name:
- Maximum length is 35 characters.
- Both uppercase and lowercase characters are recognized.
- Valid characters include periods, dashes, and numbers.
- Some special characters are not allowed as part of the name.
Select the Profile Type:

Select Save and Continue.
Go to: Add Content
Choose from different types of content to include in your profile. Each choice is accompanied by the option to subscribe to alerts. Access to the content included in a profile, such as a Service Request or Service Message, is immediate (users associated with the profile should sign out and then sign back into Wealthscape). Alert subscriptions, however, do not take effect until the following day.
Users must be entitled appropriately to see a profile's content (Service Requests, Service Messages, Reports, Alerts).
You may add content now, then wait to add users later. Remember, without at least one assigned user, the profile is not considered "active."
On the User Profiles panel, under Manage Content, select content to add:

To add content and exit without adding users and activating the profile, select Save & Exit.

Content in the UPAT grid is arranged by category:
Work left to right across each column. As you make selections in one column, selections become editable in the next column. For example, columns with grey check boxes are uneditable. By selecting the check box in the previous column, the check box in the next column generally becomes editable.
Select content to add, one row at a time. Use Select All or Unselect All to quickly choose all content within a category.

Subscribe Alert | Choose which alert subscriptions, generated by Alert Manager, users can receive. Users can modify or delete these subscriptions, and can choose to receive email notifications.

Mandatory | Indicate which subscriptions users cannot modify, meaning users cannot unsubscribe to the alert nor edit its conditions. Users can modify only whether or not to deliver the mandatory alert via email.

Search for the users to add to a profile. Search results return all users regardless of entitlement; however, users must be active Wealthscape users to be added to a profile.
Since a user can be assigned to only one profile at a time, adding a user already assigned to another profile automatically removes the user from that profile, including from the Default Profile. Once reassigned, the user has access only to the content in the new profile.
To search by name, enter a full or partial name and select Search.

To search by Wealthscape ID, enter the full 10-digit ID or a partial ID and select Search.

To retrieve a list of all users, select the Show All Users link.
In the Select column, choose the check box next to each user you want to add.
To add most of the users in the list, in the column heading, choose Select, and then clear the check box next to each user you want to exclude.
Note
Profile content is available only to those users with the appropriate entitlements. For example, if the user is not entitled to Service Requests, the user will not see or receive alerts for Service Requests, even if Service Requests are part of the profile. Check the Current Entitlements column, which indicates a user's entitlements: SR=Service Requests, SM=Service Messages, AM=Alert Manager.
To continue searching and adding users, repeat from step 2.

To add the selected users, choose Add Selected.
For the delivery of alerts, optionally enter up to three email addresses per firm user. In addition, you may edit email addresses previously entered for a firm user.
You can update the email addresses of just one user at a time. As an alternative, consider bulk uploading updates to multiple users' email addresses instead. (Upload Firm User Email Addresses)
To search by name, enter the full or partial name and select Search.

To retrieve a list of all users, select Show All Users.
Note
Search results include all users, regardless of entitlement.
Edit a profile when you want to change the profile name, add and delete assigned users, and add and remove content. Prior to performing these actions, as a best practice, view the name and ID of the assigned users, name of the administrator who last applied changes, date and time of changes, and user entitlements.

On the User Profile Administration window, select a profile name.

Select Edit.
Enter your changes to the Profile Name.

Change a profile by adding more content or removing content. Already added content is indicated by selected check boxes. Clear the check boxes of content you want to remove.

Green check marks in the User Profiles panel indicate components already assigned to the profile.
In the grid, do the following:
- To add content, select its check box.
- To remove content, clear its check boxes
Notice that you control the selection of content by hierarchy – supercategory, category, subcategory. For example, clearing a supercategory (such as Account Management) automatically clears all categories and sub-categories within it; clearing a category (such as Account Features & Maintenance) clears all of its sub-categories.
Select Save & Exit.
On the User Profile Administration window, select a profile name.
Select View/Edit Users.
Assigned users list in alphabetical order by last name.
To search by name, enter a full or partial name and select Search.

To delete all users, in the column heading, choose Select. This selection applies to all users assigned to the profile and not just the users that display on the current page. If necessary, clear the check box of any user you do not want to delete.
Select Delete Selected.
A message prompts you to confirm the deletion.
When you delete a profile, users associated with the profile:
Any subscribed alerts marked mandatory are unsubscribed automatically. All other alert subscriptions remain, including those to which the user self-subscribed. The user can unsubscribe to alerts at any time using Alert Manager.
Note
You cannot delete a Default Profile.
On the User Profile Administration window, select a profile name.
Select Delete Profile.
A message prompts you to confirm the deletion.
Select OK.
Instead of maintaining your firm's profiles or user email addresses one at a time, upload a file containing updates to multiple profiles or multiple users.
On the User Profile Administration window, select Manage Firm Batch Activities.

Run a report to view all profile assignments at your firm, by user ID. View either a PDF or an XLS version of the report. Data reflects prior-day information. You can request only one report per day.
When the report displays a status of Complete, the report is ready to be viewed. Other possible report statuses include Pending and Error. If an error occurs, the Status column includes a brief explanation. Select the Refresh link to view an updated status of the report, if available.
On the User Profiles panel, under Manage Firm Batch Activities, select Request User Report.
On the Request User Report window, select Request User Report.
A message confirms that the report is being processed.
Select OK.
In the Action column for a report with a status of Complete, select a link:

Run a report to view all user email addresses at your firm, by user ID. Data reflects prior-day information. View either a PDF or an XLS version of the report. You can request only one report per day.

Upload up to three email addresses per user. The required upload template is available for download on the Upload Email Report window.
Uploaded files remain in Pending status until the upload is performed after normal business hours. If a file has a Pending status and you want to upload a different file, delete the Pending file whether you uploaded the original file or not.
Uploaded email addresses become the delivery method for users specified in the file and replace any existing email addresses. Uploaded files are available for 90 calendar days after which they are systematically deleted.
Upload statuses are Pending, Complete, or Error. If an error occurs, select the link to view a report detailing the error.

On the User Profiles panel, under Manage Firm Batch Activities, select Upload Email Addresses.
At the top of the Upload User E-Mail Addresses window, select Excel Template.
Open the template. Follow the instructions to complete the template, and then save it as an XLS file.
If necessary, select Refresh to retrieve the latest status of the uploaded file.
If an error occurs, select the link to view the error details.
Upload profile updates for users in your firm.
Uploaded files remain in Pending status until the upload is performed after normal business hours. If a file has a Pending status and you want to upload a different file, delete the Pending file whether you uploaded the original file or not.
If updates include switching a user from one profile to another, the availability of content is the same as when adding content to a new profile. (Add Content)
