Overview

If entitled, transmit reports using File Transfer Protocol (FTP). You can transmit a report on demand at any time or on a schedule, or retransmit a report that was previously sent.

Although you can transmit from most Reports windows, the FTP window lists all reports sent by your firm using FTP. When you transmit an FTP report, the report includes all accounts that meet the criteria for the report, including accounts to which you are not authorized.

Using the FTP window, you cannot designate an FTP report as a favorite or as a prompted report. You also cannot subscribe to an alert for an FTP report.

Transmit a Report

If entitled, transmit any report using FTP. Transmitting involves choosing the report output and indicating its destinations, which were previously defined by your firm.

Refer to the Schedule column on the FTP window to determine whether a report is scheduled. If scheduled, the FTP report is transmitted according to that schedule. If no data exists that satisfies the report criteria, the report is transmitted with text indicating that no data was found.

To transmit a report

  1. On the Reports window, select the arrow next to a report to display a menu.
  2. Choose Manage FTP.

    Note
    If on the FTP window and the Status column displays Pending, you cannot edit, delete, or manage the report until this status changes.

  3. Choose the Report Output:

    Excel (Default)
    CSV
    Text
    PDF

    Note
    The FTP report and the original report can have different outputs. The FTP report, however, is not allowed to have Online or Interactive Online outputs.

  4. From FTP Sites, select one or more destinations.
  5. Do one of the following, where applicable:

    If report is not scheduled and you want to transmit it now:
    Select Send FTP. The report lists on the FTP window as a linked report and is transmitted at any time to its chosen destinations. The FTP Details column displays One-Time.

    If report is scheduled:
    Select Save. The report lists on the FTP window as a linked report and is transmitted to its destinations according to the schedule of the original report. The FTP Details column displays Scheduled.

    If report is scheduled/not scheduled and you want to save it as FTP-only:
    Select Save As FTP Report. Enter a name to assign to the FTP-only report and select Save. The Type column displays FTP.

Retransmit a Report

Transmission history for an FTP report lists each transmission attempt by destination (FTP site). From transmission history, you can attempt to resend an FTP report to a destination.

To retransmit a report

  1. On the FTP window, select the arrow next to a report to display a menu.
  2. Choose View Transmission History.
  3. In the Select column for the transmission date and destination to retransmit, select the button.
  4. Select Resend.

Assign FTP Destinations

A report is not sent until FTP destinations are assigned.

For an FTP-only report (Type column displays FTP), to assign destinations already defined by your firm, select the report name and choose Edit. (Edit an FTP Report)

To assign FTP destinations

  1. On the FTP or Reports window, select the arrow next to a report to display a menu.
  2. Choose Manage FTP.
  3. From FTP Site(s), select one or more destinations.
  4. Do one of the following, where applicable:

    If report is not scheduled and you want to transmit it now:
    Select Send FTP.

    If report is scheduled:
    Select Save. The report is transmitted to its destinations according to the schedule of the original report.

    If report is scheduled/not scheduled and you want to save it as FTP-only:
    Select Save As FTP Report. Enter a name to assign to the FTP-only report and select Save.

Cancel an FTP Transmission

Cancel the scheduled transmission of an FTP-only report on the FTP window. Refer to the Schedule column to determine whether the FTP-only report is scheduled.

To cancel an FTP transmission

  1. On the FTP window, select the arrow next to a report to display a menu.
  2. Choose Manage FTP.
  3. Select Cancel FTP.

    - The FTP destinations are removed.
    - The FTP Details column changes to Draft.
    - This indicates the report does not have FTP destinations.

Edit an FTP Report

To edit an FTP-only report

  1. On the FTP window, select the arrow next to a report to display a menu.
  2. Choose Edit.
  3. Enter changes to the report including FTP Site(s). (Edit a Report)
  4. Select Save or Save & Send FTP.

Delete an FTP Report

When you delete an FTP report, the report and its transmission history are deleted. If the report was a linked report, the original report is not deleted.

To delete an FTP report

  1. On the FTP window, select the arrow next to a report to display a menu.
  2. Choose Delete.

    - A message prompts you to confirm the deletion.

  3. Select Delete Report.

FTP

Field Definition
Report Name The report name. If the full name does not display, hover over it to display the full name. The information icon in the next column enables you to view the report's full name and description.
Category The category with which the report is associated. Categories group related subject areas. The Subject Area column further clarifies the topic of the report.
Subject Area The subject area, or topic, of the report. This determines which criteria and columns can be selected for the report.
Type

The report type. Linked FTP reports display the original report type:

Firm
Original report is a firm report.
FTP
FTP-only report. The report is not linked to an original report.
Personal
Original report is a Personal report.
Shared
Original report is a Shared report.

FTP Details

The status of the FTP report:

Cancelled
Report transmission has been canceled and the FTP destinations removed.
Draft
Report does not have any FTP destinations. This status can also indicate that a scheduled FTP report was canceled and the FTP destinations removed.
One-Time
Report has been transmitted, but it is not assigned to a schedule.
Scheduled
Report has a schedule and at least one FTP destination. The report is transmitted according to the schedule.

Schedule

The scheduled frequency of the report to which the FTP report is linked and the scheduled frequency of the FTP transmission:

Daily - All days
Daily - Business days
Weekly - <day of the week> Monday through Sunday
Monthly - Calendar month end
Monthly - Brokerage month end
Monthly - <numeric day> Day of month
Quarterly - End of Qtr
Annually - End of Yr
<blank> Not scheduled

Last Transmission The date of the last transmission of the report.
Status

The status of the FTP transmission:

Failed
Report transmission to the FTP destination was not successful.
Pending
Report transmitted to the FTP destination. The delivery of the report has not been confirmed. While the report status remains Pending, you cannot edit, delete, or manage the report.
Sent
Report successfully transmitted to the FTP destination.

Last Updated The date the FTP or original report was last saved, or the FTP output and FTP destinations were updated.
Last Updated By The name of the user who last updated the FTP or original report, or the FTP output and FTP destinations.
Output

The format in which the report is transmitted. (Report Outputs)

Note
The FTP report and the original report can have different report outputs. An FTP report, however, cannot have the Online or Interactive Online formats.

Transmission History

Field Definition
FTP Site(s) The FTP destination of the transmission. You can view an historical report for each FTP destination to which the report was transmitted.
Output The format of the FTP transmission.
Status

The status of the FTP transmission:

Failed
Report transmission to the FTP destination was not successful.
Pending
Report transmitted to the FTP destination; however, the delivery of the report has not been confirmed. While the report status remains Pending, you cannot edit, delete, or manage the report.
Sent
Report successfully transmitted to the FTP destination.

Status Date The date and time the report was successfully transmitted, or confirmation was received that the transmission was not successful.
Transmission Date The date and time the report was submitted for transmission.
