Overview

The Saved Imports window displays the imports that were created and saved either by you or by other members of your firm. From this window you can edit, delete, or run a saved import. After running an import, it is a best practice to view the Import/Export Status window to verify there were no errors or to correct any errors that occurred.

When you run an import, a notification is posted to the Message Center when the import is complete.

Sorting the List

You can sort the information in the Saved Imports List by selecting one of the following column headers: Description, Import Name (the default), Import Type, and Updated By. The label of these columns displays in blue as an indication that you can use them as sorting criteria. The sorting method of the list is indicated by a caret in the selected column heading; the caret points upward for Ascending ordering and points downward for Descending ordering. Selecting the column heading toggles between Ascending and Descending order.

Use the Filter By User drop-down list to filter the list. The drop-down contains the names of users who created or modified imports. If you saved imports, the filter defaults to your name and only the imports you created or modified are shown when you launch the window. However, if you did not create or modify any imports, the drop-down defaults to All and the saved imports created or modified by other individuals at your firm display.

NOTE: The Filter By User filter is based on the names that display in the Updated By column of the Saved Imports List. The name reflects the person who created the import (if it was never updated) or the person who updated it. Therefore, if you create an import but someone else edits it, it no longer displays if you filter the list according to your name; the import is now associated with the individual who edited it.

Editing a Saved Import

NOTE: Select the Cancel without making changes link at any time while you are on the Edit Import window to close the window and ignore any selections/settings you made.

  1. Select Imports & Exports > Import > Saved Imports. The Saved Imports widow displays and the first entry in the list is highlighted (selected) by default.
  2. Select the import you wish to edit by selecting (highlighting) its row.
  3. Select the Edit button. The Edit Import window displays and contains the current information for the saved import. The Import Type field displays the type of the selected import. You cannot edit this field.
  4. Enter any changes to the File Type, Import Name, and Import Description fields.

    NOTE: If you selected an Account Custom Information Import, you also have the ability to change the fields and their order.

  5. To overwrite any existing imported client information, select the check box associated with Overwrite if data already exists.
  6. Select the Save Import button to saved the modified import to the Saved Imports List, where you can continue to manage it.

Deleting a Saved Import

  1. Select Imports & Exports > Import > Saved Imports. The Saved Imports window displays.
  2. Select the import you wish to delete by selecting (highlighting) its row.
  3. Select the Delete button. A warning window displays prompting you to verify that you wish to delete the selected import.
  4. Select the No button to close the window and return to the Saved Imports window.
    OR
    Select the Yes button to proceed with the deletion.
  5. If you selected the Yes button, a window confirms the deletion. Select the OK button to close the window and return to the Saved Imports List. The import no longer displays in the list.

Running a Saved Import

  1. Select Imports & Exports > Import > Saved Imports. The Saved Imports window displays.
  2. Select the import you wish to run by selecting (highlighting) its row.
  3. Select the Run Import button. The Select Import Path window displays. The Import Name field populates with the name of the selected saved import and cannot be edited.
  4. Select the Browse button to choose the file to import, and then select the Continue button. A window informs you that the import request was received and is being processed.

    NOTE: You must use the Browse button and cannot enter the path manually.

  5. Select the OK button to close this window. The Status is listed as In Process on the Import Status tab, and the system performs a validity check on the import file. If there are no errors, an acceptance message indicates the import is being processed. An error message displays if the system cannot read the import file due to a general issue, such as:

    • File path does not exist.
    • File name does not exist.
    • File size is too large.
    • File fails virus scan.
    • File format cannot be read (extra columns or file type does not match user input).
